Roles: who sees what?
Every user has one or more roles. They decide which areas the app shows them and what they may do there. You assign them under More… → User management (Users and roles).
Typical combinations

An admin needs the roles of their areas
Also give an admin the role of every area they use: Lists for loading lists and delivery notes, Warehouse for customer management and tool rental, Catalog for the catalog. Only a user without the Admin role can count a stocktake.
Crew leader is not a role: whoever leads a crew is marked as crew leader in the individual work order.

My vehicle appears for employees without the Admin and Site manager roles who have a vehicle assigned (My vehicle).
Allowing or taking away single permissions
For the internal orders you can give a user single permissions on top of their roles, or take them away: in the user, under Refine permissions. Reset to the roles undoes all adjustments.

Admins and site managers can see the app the way a crew member sees it (Employee view).
